ADMINISTRATIVE COORDINATOR

C+GA is currently seeking a full-time Administrative Coordinator with 2-4 years’ experience to support the Leadership team of the firm. The Administrative Coordinator is involved in a range of administrative responsibilities pertaining to the Leadership team and the office. Their primary function is to ensure the smooth organization and functioning of the Leadership team’s day to day calendar management, administrative responsibilities and working closely with other administrative staff.

They are effective collaborators, working across departments, in support of the Leadership team and senior management for special projects.

Responsibilities:

  • Heavy calendar and scheduling management, serve as point person for scheduling and planning.
  • Lead the scheduling, follow-up, and execution of all meeting invites in both office calendar and in Zoom meeting rooms.
  • Assist administrative team in overall office calendar management.
  • Some email and phone correspondence on behalf of Leadership team, mainly in the areas of scheduling meetings, meeting follow-up tasks, and logistical inquiries.
  • Daily duties are both administrative and operational.
  • Document preparation, filing management.
  • Assist in meeting preparation.
  • Complete miscellaneous administrative tasks and special projects as needed.

Qualifications:

  • Bachelor’s Degree preferred or equivalent work experience.
  • A minimum of 2-4 years of experience in an administrative capacity with at least 1 year on executive-level interaction.
  • Solid experience in handling a wide range of administrative duties and executive support-related tasks, and ability to work independently.
  • Should be well organized and flexible, and motivated by the challenges of supporting an office of diverse people and activities.
  • Excellent oral and written communication skills.
  • Solid interpersonal communication skills, organizational skills, and attention to detail, paired with persistent follow-through.
  • Ability to multitask, superior ability to receive many incoming tasks and requests, prioritize and effectively complete them.
  • Strong interpersonal and communication skills. The ability to troubleshoot, think creatively, and take initiative.
  • A “team player” disposition.
  • Experience in AEC industry is preferred but not required.

Technical Requirements:

  • Advanced Microsoft Outlook (for e-mail, calendar, contacts)
  • Intermediate to Advanced level of MS Office suite (Word, Excel, PowerPoint)
  • Ability to operate office machineries and handle troubleshooting

Salary range for this position is $55,000-65,000, subject to adjustment based on candidate’s experience, skills, and references feedback.

INTERMEDIATE ARCHITECT

C+GA is currently seeking a candidate for Intermediate Architect with a minimum of 4-7 years of experience, experience working in rehabilitation of existing buildings, and expertise in Building Information Modeling. US experience required.

Responsibilities:

  • Team member for large-scale renovation projects involving multiple buildings and campus infrastructure. Other projects may involve sustainable mixed use, residential, education and institutional projects, from feasibility through construction administration.
  • Interface with Project Manager and Project Architect as well as other Architectural team members. Coordinate individual work scopes with the rest of the project team.
  • Participate in the coordination of design and production of all phases, schematic design, design development and construction documents.
  • Assist in preparation of technical drawings as well as design and conceptual presentation imagery.
  • Assist with bid period and construction administration services, including site visits and coordination with the owner – private and/or public agency.

Skills:

  • Excellent skills in REVIT and Building Information Modeling with a full understanding of LOD classifications and how to execute industry standards for model elements at all phases.
  • Navisworks experience a plus.
  • Strong organizational, communication, and design skills, with the ability to work independently. 
  • Excellent project delivery experience, including construction documentation and construction administration.
  • Experience in Construction Administration phase a plus.
  • Commitment to and experience with sustainable design.
  • Experience in New York City, NYC Building Codes and with multi-family housing a plus.
  • Professional architectural degree from an accredited institution.
  • 3D proficiency and Adobe Suite (Photoshop, Illustrator, etc.) required.
  • LEED and / or Passive House Certification a plus.
  • Excellent English language communication and client interface skills.
  • Legally eligible to work in the United States.
